Spencer Realty, LLC is looking to hire a Real Estate Transaction Coordinator. We are searching for a strong detail oriented individual looking for part-time hours in a fast-paced office. Real estate experience is preferred but is not required. The ideal candidate will have prior experience in customer service and office administration with a strong background in executive support and attention to detail. You will be 100% committed to phenomenal customer service as well as understanding that success is not about any one individual but the entire team.

Essential Functions

  • Oversee all aspects of buyer & seller transactions from executed purchase agreement to closing.
  • Upload broker required paperwork as requested
  • Communicate with transaction parties using CTM eContracts CRM to regarding transaction deadlines and tasks.
  • Weekly follow-up with agents and compliance officer to collect missing paperwork and ensure timely closings.
  • Coordinate title/escrow, mortgage loan and appraisal processes.
  • Coordinate inspections and coordinate completion of repairs.
  • Regularly update & maintain communication with clients, agents, title officer, lender etc.
  • Submit all necessary documentation to office broker for file compliance.
  • Coordinate moving/possession schedules.
  • Schedule, coordinate closing process.
  • Input all client information into client database system.
  • Schedule weekly, 30 Day, 90 Day & 120 Day client customer service follow up calls and to ask for referrals.

Education and Experience


Equivalent combination of education and experience is considered.

  • High School Diploma required.
    Two years’ work experience in related field required.
  • Strong knowledge of Microsoft Outlook , Word and Excel applications.
  • Must have strong computer skills.
  • Proficient verbal and written communication skills required.
  • Effective, positive interpersonal skills are required.
  • Must exercise strong customer service skills, and be able to work well independently.
  • Ability to work effectively under aggressive deadlines required.
  • Effective time management skills required.
Supervisory Responsibility

This position has no supervision responsibilities.

Licenses and Certifications

Colorado real estate license preferred.

Work Environment

While performing the duties of this job, the transaction coordinator will be working in a virtual office setting from home.
